A voice-first AI assistant that fills its own knowledge base
Most business AI fails for a simple reason: nobody fills its database. Natasha, a voice-first assistant we built and delivered for a founder, solves this by calling at the end of the day. The founder talks, and the assistant turns the conversation into tasks, meetings and documents without anyone opening a screen.
The problem with assistants you have to open
An AI assistant is only as useful as what it knows about your business. Getting that knowledge in usually means someone typing notes, uploading documents and keeping them current. Busy founders stop doing that within weeks, and the assistant goes stale.
So we flipped the direction. Instead of waiting to be opened, Natasha starts the conversation.
How it works
- She rings at the end of the day, like someone checking in
- She asks what happened, who should do what, and what is worrying you
- Meetings get logged and tasks get assigned from the conversation
- The knowledge base fills itself, so the assistant actually knows the business
Why voice changes the job
Talking for five minutes is easier than writing for thirty, and it captures things nobody would stop to type. Voice also works in the car, between meetings or at the end of a long day, which is when a founder has the most to get out of their head.
Voice is harder to get right than text. A long pause feels broken on a call in a way it never does in a chat window, so response speed has to be treated as a core feature.
What this means for your business
You may not need a personal assistant, but the idea carries over. If your AI project stalled because nobody keeps the data current, look for a way to collect that data from conversations people already have.
Questions
- Is a voice assistant different from a chatbot?
- Yes. A chatbot waits for you to open it and type. A proactive voice assistant calls you, so the information reaches it even on days you would not have opened anything.
- Who owns the assistant and its data?
- The client. Natasha was delivered and handed over, and that is how we work on every project: the code and the accounts are yours.
