A construction CRM for builders running 5–10 job sites

We built a custom construction CRM for a builder running 5–10 job sites. It handles estimates, crews, purchasing and hiring in one system. The software drafts and the owner approves, and evenings of paperwork that used to run until midnight now take about an hour.

Who changed what

The change was simple: the owner stopped writing first drafts. The system prepares the estimates and paperwork, and the owner reviews them, corrects them and signs off.

The decisions stayed with the person who knows the jobs. Only the typing moved.

What is in the system

  • Estimates drafted from the builder's own rates and past jobs
  • Crews and schedules across job sites
  • Purchasing and material orders
  • Hiring and onboarding of workers
  • An owner view of every site, with approvals in one place

Buildertrend, JobNimbus or custom?

If your workflow fits Buildertrend or JobNimbus, use them. They cost less than a custom build, and they work well for a standard process.

Custom pays off when your estimating, crews and purchasing do not fit their templates and your team spends its time working around the software.

A question to ask before buying anything

Watch how your next estimate actually gets made. If it comes out of your own spreadsheet and your own head, any tool has to match that method or it will be abandoned. Start there, whichever way you go.

Questions

Does the AI send estimates to clients on its own?
No. The system drafts and the owner approves. Nothing goes out without that step.
How many job sites justify a custom CRM?
There is no fixed number. This client runs 5–10 at once. The better test is whether your process fits off-the-shelf templates and how much owner time goes into paperwork.
